1. Information We Collect
We may collect information you provide directly to us, including your name, email address, phone or WhatsApp number, age or date of birth where required, preferred destination, preferred role, arrival date, application answers, booking details, airport arrival time, support requests and other information you choose to provide.
When you create a member account, we also process account information such as your username, login activity, account settings and booking status.
We may also collect technical information when you use our website, such as IP address, browser type, device information, pages viewed and basic security or performance logs.
2. How We Use Your Information
We use personal information to process applications, manage bookings, create member accounts, administer payment plans, organise accommodation and transfers, provide local support, communicate important booking information, respond to enquiries, operate and secure our website, maintain records and improve our service.
Where you have separately agreed to marketing, we may also use your details to send updates about future seasons, destinations, offers or related Seasons Abroad services.
3. Legal Bases
Depending on the circumstances, we process personal information because it is necessary to take steps at your request before entering into a contract, to perform our contract with you, to comply with legal obligations, because we have a legitimate interest in operating and improving Seasons Abroad, or because you have given consent.
Where we rely on consent, you can withdraw that consent at any time. Withdrawing marketing consent does not affect transactional or service communications needed for an existing application or booking.
4. Payments
Payments are processed through WooCommerce and our connected payment providers. Seasons Abroad does not need to store your full payment-card number in the CRM. Payment providers may process card, billing and fraud-prevention information under their own privacy terms.
We may store payment-plan information such as the selected plan, amount paid, balance, next payment date, payment status and related WooCommerce or payment-plan order references so we can administer your booking.
5. Accommodation, Transfers and Local Partners
Where necessary to deliver your package, we may share relevant information with accommodation providers, transfer providers, local representatives, venues or other service partners. We only share information that is reasonably required for the relevant service, such as your name, arrival date, arrival time, booking details or contact details.
6. Marketing
Marketing consent is separate from application and booking correspondence. If you opt in, we may send promotional email or similar communications. You can unsubscribe at any time using the unsubscribe link in a marketing email or by contacting us.
You may still receive essential service messages about an application, booking, payment, arrival or transfer even if you are not subscribed to marketing.
7. Cookies and Website Data
Our website and connected services may use cookies or similar technologies for essential site functions, account sessions, security, analytics, performance and, where enabled, marketing. Where required, non-essential cookies should only be used in accordance with your cookie choices.
8. Sharing Your Information
We may share personal information with service providers that help us operate the website and deliver the service, including hosting providers, email-delivery providers, payment processors, website security providers, accommodation or transfer partners and professional advisers.
We do not sell personal information to advertisers. We may disclose information where required by law, to protect our legal rights, to prevent fraud or misuse, or in connection with a business reorganisation where appropriate safeguards apply.
9. International Transfers
Because Seasons Abroad operates travel and overseas experiences, some information may need to be accessed or shared outside the United Kingdom, including in the destination country. Where data protection law requires safeguards for an international transfer, we take reasonable steps to use an appropriate lawful mechanism.
10. How Long We Keep Information
We keep information only for as long as reasonably necessary for the purpose it was collected, including providing your booking, handling complaints, maintaining financial and legal records, resolving disputes and meeting regulatory requirements.
Unsuccessful or inactive enquiries may be archived or deleted when they are no longer needed. Financial and booking records may need to be retained for longer periods where required by law or legitimate business record-keeping requirements.
11. Security
We use reasonable technical and organisational measures to protect personal information. These include account authentication, access controls, secure payment providers, website security tools and restricted administrative access. No internet service can guarantee absolute security, so you should also keep your account password private and contact us if you believe your account has been compromised.
12. Your Rights
Depending on applicable law, you may have rights to request access to your personal information, ask for inaccurate information to be corrected, request deletion in certain circumstances, restrict or object to certain processing, request portability of information you provided, and withdraw consent where processing relies on consent.
You may also have the right to complain to the UK Information Commissioner’s Office or another relevant data protection authority.
13. Children
Seasons Abroad is not intended for children under the minimum age required for the relevant programme. We do not knowingly use the website to market Seasons Abroad programmes to children where they are not eligible to participate.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to our services, systems, partners or legal obligations. The latest version will be published on this page.
